
Power Platform Finance are the ‘controllers’ of the information (‘personal data’) that we collect about you, our ‘data subjects’, which means we are responsible for how your data is processed. The word ‘process’ covers what can be done with personal data, including collection, storage, use, sharing and deletion. This privacy policy explains why and how we process your personal data, and explains the rights you have, including amongst others, the right to access your data, and to object to the way it is processed. Why? The main reason we need to process your data is so that we can offer you the best service available –by understanding the audience in the PPF community, we can run events that are more better suited to your needs.
What? We store your email address and the fields you populate on event registration in a secure Mailchimp Database. Where you fill out a feedback form (Which can be done anonymously), we have the data relating to the fields that were filled out which we share anonymously with the individual(s) hosting the event in question. We may perform analysis on events in order to understand what we can do better.
How? We handle your data carefully, and have appropriate controls in place to protect it from breaches. We also work to ensure that data is accurate and only kept as long as is necessary, and that we uphold your rights around how we handle your data.
Personal Data
‘Personal data’ is any information that relates to a living, identifiable person. This will usually include your name, address, contact details, and other information we collect as part of our relationship with you.
It can also include ‘special categories’ of data, which is the official term for information about a person’s race or ethnic origin, religious, political or other beliefs, physical or mental health, trade union membership, genetic or biometric data, sex life or sexual orientation.
The use of this type of data, and of information about criminal convictions and offences, is subject to strict legal controls.
We only process data if we need to for a specific purpose, as explained below. We collect your personal data directly from you, through our contact with you.
How long we keep your data
Some of our retention periods are based on legal requirements, and others are based on the practical reasons we need to keep the data for a certain period of time.
Once we reach the retention period, we will securely delete the relevant data, unless we are legally required to keep it longer, or there are legal reasons why we should keep it longer.
Your rights as a data subject
As a data subject, you have the following rights in relation to your personal data:
· To be informed about how your data is handled;
· To gain access to your personal data;
· To have errors or inaccuracies in your data changed;
· To have your personal data erased, in limited circumstances;
· To object to the processing of your personal data for marketing purposes or when the processing is based on the public interest or other legitimate interests;
· To restrict the processing of your personal data, in limited circumstances;
· To obtain a copy of some of your data in a commonly used electronic form, in limited circumstances;
· Rights around how you are affected by any profiling or automated decisions.

Purpose of Processing – Microsoft Teams
The email address provided on the feedback
form are used to provide you with a log in to MS
Teams, so you can use it to contact other
members of the community and be kept up to
date with community events, and so we can
share material relating to the events.
Legal Basis
This is necessary for the legitimate interests of PPF to operate the community and provide our services effectively in a virtual manner. This is not considered to adversely affect the rights and interests of users as contact details are intended to be used for this purpose.
By default, chat messages are stored by the
system. Chat is another communication method
for colleagues and contacts to use, where
appropriate, to keep in touch without filling up
email inboxes. It can be used more informally
than email, but it should always be used in a
professional and polite manner.
It is optional for users to use chat, and where it is used, it is on the basis of the legitimate efficient communication only where it does not adversely affect the rights and interests of the users.
MS Teams video calls and meetings will be
recorded by the host, for the recording to be
available to other community members/the
general public where necessary (e.g. via
YouTube).
All virtual PPF events will be recorded and joining the event live indicates consent to be on a recorded call. Anyone who does not wish to do so is free to watch the recording at a later date instead.
